Terms and Conditions

1. Bookings and places

Places on our Saturday performing arts classes and our Babies and Tots sessions are offered on a first come, first served basis. A place is not guaranteed until full payment for the term (or remaining part of the term) has been received.

All bookings, enrolments and payments are managed through our online booking system (Class Manager). You can enrol, pay, and manage your family's details at any time via the Parent Portal, linked from our website.

Free trial: each child is entitled to one free trial class, in any of our classes, before enrolling. This is limited to one trial per child.

2. Fees and payment

Term fees may be paid in full, or split into two instalments across the term, by card via our online payment system (Stripe). If you choose to pay in instalments, this is an agreement to pay the full term fee, even if a class is missed.

Sibling discount: families with more than one child enrolled receive 25% off the fee for the second child and 25% off the fee for the third child, applied automatically at checkout.

Drop-in classes (Babies and Tots only)

Drop-in places for Babies and Tots classes are not guaranteed and do not receive the sibling or term discount. Drop-ins may only join a class if there is space in the register. We recommend booking online at least the day before your class; drop-ins may also be booked and paid for on the day, subject to availability, and turned away if the class is full.

3. Re-enrolment

Your place for the following term is only guaranteed if payment is received by the advertised re-enrolment date. Places are limited, and all families — including regular attendees — must re-enrol each term. If you have missed the re-enrolment date and wish to continue, please contact us as soon as possible.

4. Refunds, credits and cancellation

Refunds or credits are not given once a course has started. If you miss a class due to sickness or holiday, it cannot be refunded, transferred, or carried over to a future course. Where space allows, you may be able to attend an equivalent class at another venue within the same term, but this must be arranged with us in advance.

If you cancel your place up to 14 days before the course begins, we will refund your payment, subject to a £15.00 administration fee. No refunds will be made after this period, or once the course has started. Cancellations arising from force majeure, terrorism, war, or pandemics will not be refunded.

5. Sickness and long-term illness

Please let us know if your baby or child is unwell. Please do not bring your child to class if they have experienced sickness or diarrhoea within the previous 48 hours.

For a long-term illness, please contact us to discuss your circumstances. Refunds or credits for long-term illness are at our discretion, and a letter from your GP detailing why the child is unable to continue may be required.

6. During class

Saturday performing arts classes

Children attending our Saturday drama, singing and dancing classes are left in the care of our teachers for the duration of the session. Parents and carers do not need to remain on-site, but must be contactable and available to collect their child promptly at the end of the session.

Babies and Tots

One adult must attend with each baby or child for the whole session, and children must be supervised by their adult at all times. Babies and Tots is a parent-and-child class — we are not able to accept unaccompanied children.

All classes

Personal belongings left in or around the venue are left at the owner's risk. Oxbow Lake Performing Arts accepts no responsibility for loss, theft, or damage to property or persons on the premises.

For safety, hygiene and allergy reasons, no food or drink should be consumed during the class — please eat and drink away from the class space. Babies may be fed milk during the session if required. Please change nappies away from the class space.

7. Child protection and photography

Oxbow Lake Performing Arts takes child protection seriously. Photography or filming of any child other than your own is not permitted during a session without that child's parent or carer's permission.

Photo and video consent for your own child, for use in our promotional materials, website and social media, is collected digitally when you enrol via our booking system. You may update your consent preference at any time by contacting us. Please see our Privacy Policy for further detail.

8. Classes cancelled by us

Where we need to cancel a class, we will reschedule it wherever possible. If a class is rescheduled, no refund or credit will be given. If cancellations mean two or more sessions are lost across a term, a credit will be applied to the following term.

9. Lost property

Lost property is kept securely for 28 days, after which it will be disposed of. Oxbow Lake Performing Arts accepts no responsibility for lost property.

10. Complaints

If you have a complaint about any of our classes, please contact us as soon as possible on 07790 081271 or oxbowlakeperformingarts@gmail.com. We welcome all feedback and want the opportunity to put things right wherever we can.

11. Safeguarding

All of our teachers hold an up-to-date DBS (Disclosure and Barring Service) certificate.

12. Our commitment

We aim to provide safe, high-quality classes that build confidence and ability, while being an enjoyable experience for you and your child. Safety is at all times our paramount concern.

13. Disclaimer

Parents and carers take full responsibility for their child at all times during a session.

By enrolling your child with Oxbow Lake Performing Arts, whether for our Saturday performing arts classes or our Babies and Tots sessions, you confirm that you have read, understood and agree to these Terms and Conditions, and that you will inform any other parent or carer who may bring your child to a class of these terms.
